Swim Meet 101

All meets begin promptly at 6:00 pm. Swimmers need to be at HOME meets by 4:30 pm (warm-ups begin @ 5 pm), and AWAY meets by 5:00 pm (warm-ups @ 5:30 pm). Exact details for each meet, such as location, info about concessions, parking, etc, will be communicated a few days prior to each swim meet. Meets are typically over by 10:00 pm. 5 and 6-year-old races will be complete at the end of the first half (Event 46), typically by 7:30 pm.

Meets are held rain or shine. Every swimmer is expected to be at the meet unless prior notification has been given to the coordinators and head coach. Last minute illnesses/emergencies must also be reported to the coaches/coordinators ASAP.

Before you arrive, please use a Sharpie marker to write your swimmer’s events on their forearm prior to arriving at the meet. See example below.

All swimmers and volunteers must check-in upon arrival at the meet. 

  • Volunteers: Check in with the Volunteer Coordinator.
  • Swimmers: Check in with the coaches so we know you have arrived. 

Heat Sheets will be emailed out to parents and will be published on the Swimtopia app on the day of the meet around noon. If you want a paper copy of the heat sheet, you must print your own heat sheet. We do not have extras at the meet. Please be aware that the heat sheet is subject to change up until the time of the meet.

One parent from each family should plan to volunteer for a shift during each meet. A shift will be approximately 1.5 hours (no longer than 2 hours). The Volunteer Coordinator will confirm your volunteer slot the week before the meet.

Pool Etiquette

  • **No Alcohol Allowed!!** We will be fined and automatically forfeit the meet if any alcohol is inside the pool deck during a meet. Please tell your relatives/friends. The league is strict on this!
  • NO GLASS at the pool
  • No Clorox wipes should be used on pool furniture
  • Clean up all trash around you before you leave
  • Put all chairs and tables back in their places before you leave

How to Write on Swimmer's Arms

Please use the swimmer’s LEFT arm. Make sure no sunscreen is on the arm before you write. Use a black Sharpie.

1. When the Heat Sheets and Athlete Check-In Sheets come in, find your swimmer’s name on the Athlete Check-In Sheet. Names are listed alphabetically and events will be listed below each name. Write your last name across the bicep of the left arm to help lane parents line up swimmers.

2. On the LEFT arm between the elbow and wrist write “E H L S" (E = event, H = heat, L = lane, S = Stroke) on the top, leaving room underneath so you can write the info for each race below. This should be written lengthwise. Write so the swimmer can bend their arm and see their info.

3. For relays you need to note what position they swim (1, 2, 3 or 4). This will be listed after the event notation in parenthesis. You will also need to include the abbreviation of what stroke they're swimming so they remember!

Free Relay:
Swimmers 1 & 3 - DEEP end start
Swimmers 2 & 4 - SHALLOW end start

Medley Relay:
Order - Back, Breast, Fly, Free
Breast & Free - SHALLOW end start
Back & Fly - DEEP end start

4. Then you would go to next event # and write that info directly under the first....then following would be event #, etc until complete. On other strokes simply abbreviate the event after the lane indicated (i.e. 50 BR, 50 FR, 100 FR).

5. If your swimmer is swimming an IM (INDIVIDUAL MEDLEY) make sure they know the order and write it if you need to (order is different than the medley relay…IM is  order is Fly, Back, Breast, Free (FL-BA-BR-FR).

6. On the Heat Sheet, events are numbered sequentially and indicate the stroke they are swimming by age group.

7. Within an event, there can be multiple heats racing, heats are in sequential order. All swimmers in Heat 1 race at the same time. All swimmers in Heat 2 race next at the same time.

8. Lane indicates the lane number they are swimming in. Lanes can be found on the Heat Sheet.
